If you are a travel coordinator for a church group or youth groups planning on coming to Disney World then God bless you…you are in for one heck of a task! Here are a few tips which might help you.

  1. Expect last minute cancellations- Typically a large group planning on coming to Disney World will have around 5% to 7 % cancel just prior to their money being due and it is always good idea to expect one more cancellation just prior to the vacation. Most group coordinators figure everything up in price per person and this is the smartest thing to do. The only problem with this method is when you have last minute cancellations the price per person usually goes up to avoid this we recommend adding 10% the price of everyone’s package. If you do not have any cancellations and you have extra money left over then you can take the group out for “FREE” ice cream or do something fun with the money.
  2. Go through a Disney Authorized Ticket Provider- The Disney World tickets are going to be your biggest expense, and Disney give youth groups and churches huge discounts. Shop around and look for the best deal you can save up to $50 off each Disney World ticket by going through a Disney Group coordinator.
  3. Notice the cancellation clauses- Nearly 75% of all groups who plan a Disney World vacation never actually make it here. If you and your group have put down money on a vacation be aware of the cancellation clause.  Remember most families will say they are going all the way up to the time that money is due, then they will come up with a list of excuses why they cannot make it. The best practice is to have the deadline for the money to be at least 2 weeks prior to the cancellation deadline…this way it gives you plenty of time to salvage the vacation or cancel it all together.
